My HR Overview

The My HR module is your personal employee dashboard. It acts as a self-service portal where you can easily log your daily working hours, check your vacation or sick leave balances, request time off, and manage your daily schedule. If you are a manager or supervisor, you will also use this module to review and approve requests from your team members.

When Do I Use This?

  • Every Workday: To clock in when you arrive and clock out when you leave.
  • When Planning Time Off: To check how many vacation days you have left and submit a request for an upcoming trip or appointment.
  • When Sick: To log an unexpected absence so your manager is informed.
  • As a Manager: To verify where your staff clocked in from and approve their timesheets or vacation requests.

How To Use

1. Logging Your Attendance (Clock In & Out)

You must record your attendance at the beginning and end of your shift.

  1. Open the My HR dashboard.
  2. Click the My Attendance button under your job title.
  3. Click the red Attendance Sign button at the top right.
  4. Note: Your web browser or phone will ask for permission to use your location. You must allow this, or the system will not let you sign in.
  5. When you finish your shift, return to this screen and click Attendance Sign again to clock out.

2. Requesting Time Off (Leave)

  1. Open the My HR dashboard and click My Leaves.
  2. You will see a list of your available leave types (e.g., Vacation, Sick) and your Current Balance in hours.
  3. Locate the type of leave you want to use and click Leave Request.
  4. A form will open on your screen. Fill in the required details (see Field Descriptions below).
  5. Click Submit. Your request is now "Pending Approval" from your manager.
Note: If you made a mistake on a request, you can click Delete next to it in your history table, as long as your manager hasn't approved it yet.

3. Approving Team Requests (For Managers)

  1. Open the My HR dashboard.
  2. Click the yellow Pending Approvals button.
  3. For Attendance: Review the employee, time, and hours worked. You can click Map to open Google Maps and verify their exact clock-in location. Click Approve to confirm the timesheet.
  4. For Leaves: Review the requested time off, the hours it will consume, and the employee's note. Click Approve to authorize their time off.

Field Descriptions

Leave Request Form

This form appears when you click "Leave Request".

Field Name Description
Unit Search and select the organizational unit or department related to this leave.
Start The exact date and time your time off will begin.
End The exact date and time you will be returning to work.
Note A brief reason or explanation for your time off (e.g., "Family vacation", "Dentist appointment"). This helps your manager make an approval decision.

Attendance History Table

Column Name Description
Sign In / Sign Out The exact timestamp of when you clicked the "Attendance Sign" button.
Hours The total hours automatically calculated between your sign-in and sign-out times.
Tip: Always remember to clock out! If you see a red warning saying "Please Sign when finish work" in your attendance log, it means your shift is still running, and your final hours cannot be calculated.
