Site Management
This module allows you to define and manage your company's physical work locations. It is primarily used to set up geographic boundaries (geofences) so the system knows exactly where your employees are allowed to clock in and out for their shifts.
When Do I Use This?
- When opening a new branch or office and you need to add it to the system.
- When setting up a temporary project site or client location where employees will be working.
- When you need to adjust the allowed check-in area (radius) for an existing location because employees are having trouble clocking in via GPS.
- When closing an old location and you need to deactivate it.
How To Use
Adding a New Work Site
- Go to the Sites module from your main menu.
- Click the + New button.
- Enter the Name and a short Code for the location.
- Provide the Latitude and Longitude of the building.
- Set the Allowed Radius Meters (the acceptable distance around the coordinates for clocking in).
- Ensure the Active box is checked so employees can use it.
- Click Save.
Deactivating a Site
If a location is permanently closed or a temporary project has ended, you should deactivate it rather than delete it. This preserves historical attendance records.
- Open the site record you wish to close.
- Uncheck the Active box.
- Click Save.
Field Descriptions
| Field Name | Description |

| Name | The full, recognizable name of the location (e.g., "Downtown Headquarters" or "Warehouse B"). |
| Code | A short abbreviation or ID for the site (e.g., "HQ", "WH-B"). This is often used on reports to save space. |
| Latitude | The geographic latitude coordinate of the site's center point. |
| Longitude | The geographic longitude coordinate of the site's center point. |
| Allowed Radius Meters | The size of the invisible "fence" around the location. Employees must be within this distance (in meters) from the coordinates to successfully clock in or out. |
| Active | Determines if this site is currently in use. Uncheck this if the location is closed. |
| Description | Internal notes or details about this location, such as parking instructions or site manager contact info. |
Tip: Finding Coordinates To easily find a location's Latitude and Longitude, open Google Maps on your computer, find the building, and right-click on it. The numbers at the top of the menu (e.g., 40.7128, -74.0060) are the latitude and longitude. Click them to copy!
Tip: Setting the Radius Mobile phone GPS can sometimes be slightly inaccurate depending on weather or tall buildings. It is recommended to set your Allowed Radius Meters to at least 50 - 100 meters to prevent frustrating clock-in errors for your staff.
