Payments
This module allows you to record outgoing money paid to vendors, suppliers, or other parties. When you record a payment and validate it, the system automatically updates your financial ledgers to deduct the money from your bank or cash account and lower your payable balances.
When Do I Use This?
- When you write a check or make a wire transfer to pay a supplier for a bill.
- When you hand out cash to settle an open balance with a vendor.
- When you need an official record of money leaving your business accounts.
How To Use
Drafting a New Payment
- Open the Payments screen from the main financial menu.
- Click + New to create a blank payment record.
- Select the Party (the vendor or person you are paying).
- Enter the Date and the exact Amount.
- Select the Journal (for example, "Main Bank" or "Petty Cash"). Note: Once you select the Journal, the system will automatically fill in the correct Payable account for you.
- Choose your Method of payment.
- Click Save. The payment is now saved as a draft.
Validating (Finalizing) the Payment
A saved payment does not affect your accounting until it is validated. Validating locks the record and officially moves the money in your ledgers.
- Open your saved payment.
- Review the amount and accounts to ensure they are strictly correct.
- Click the Validate option button.
- The system will check the box next to Validated and generate a linked accounting Transaction.
Field Descriptions
| Field Name | Description |

| Party | The vendor, supplier, or entity receiving the money. |
| Date | The date the payment was issued. |
| Amount | The total monetary value of the payment. |
| Journal | The financial folder/journal grouping this payment (e.g., Bank Journal). Selecting this is required to process the payment. |
| Payable | The specific bank or cash account the money will be withdrawn from. |
| Method | How the payment was made (e.g., Check, Cash, Credit Card). |
| Note | A place to type memo details, such as a check number or what the payment was specifically for. |
| Validated | A read-only checkbox. If checked, the payment is locked and officially recorded in the accounting books. |
| Transaction | A read-only link to the official journal entry created after you validate the payment. |
Tip: Always select your Journal first before manually adjusting the Payable account. The system is designed to save you time by automatically fetching and filling the correct bank or cash account based on the Journal you choose!
Important: Once you click Validate, the payment becomes a permanent financial record. You cannot edit the amount or the accounts after validation. Always double-check your numbers!
