Overview

The Payment Method module allows you to define and manage all the different ways your business accepts money. By setting up accurate payment methods (like Cash, Credit Card, Bank Transfer, or Mobile Wallet), you ensure that your cashiers and accountants can properly track where your revenue is coming from.

When Do I Use This?

  • When you are first setting up the system and need to list all the ways customers can pay.
  • When your business starts accepting a new type of payment (e.g., a new mobile payment app).
  • When you want to stop accepting a certain payment type and need to remove it from the cashier's options.

How To Use

Adding a New Payment Method

  1. Navigate to the Payment Methods screen from your main financial or settings menu.
  2. Click the + New button.
  3. Enter a clear Name for the payment type (e.g., "MasterCard").
  4. Provide a short Code (e.g., "MC").
  5. Fill in a brief Description if special instructions are needed.
  6. Ensure the Active box is checked so your staff can use it immediately.
  7. Click Save.

Disabling a Payment Method

If you no longer accept a specific payment type, you should disable it rather than deleting it. This keeps your past accounting records intact.

  1. Open the payment method you want to disable.
  2. Uncheck the Active box.
  3. Click Save.

Field Descriptions

Field Name Description
Name The full, easy-to-read name of the payment method (e.g., "Cash", "Bank Transfer"). This is what your staff will see when taking a payment.
Code A short abbreviation or accounting code used to identify this payment method on reports (e.g., "CASH", "EFT").
Active A checkbox that controls whether this payment method can currently be selected by staff. Check it to turn it on, uncheck it to hide it.
Description Any extra notes or rules regarding this payment type (e.g., "Only for transactions over $10").
Tip: Keep your Codes short, consistent, and easy to recognize. This will make reading your daily financial reports much faster for the accounting team!
