Point of Sale (POS) Overview

The Point of Sale (POS) module provides a fast, user-friendly screen for ringing up sales, generating instant invoices, and processing customer payments. It is designed to look and work like a standard retail cash register.

When Do I Use This?

  • When a customer is standing in front of you ready to purchase items (walk-in sales).
  • When you need to quickly scan barcodes, calculate totals, and take payments over the counter.
  • When you want to quickly generate and print a receipt for an immediate sale.

How To Use

1. Ringing Up a Sale

  1. Go to Sales → POS from the main menu.
  2. Select a Customer: Type the customer's name in the search bar at the top left. (Note: Depending on your settings, this may be required or optional for walk-ins).
  3. Add Items to Cart:
    • Click on a product image/name in the middle grid.
    • Type the product name in the Search product bar and press Enter.
    • Or, simply scan the item's barcode using a barcode scanner.
  4. Adjust Quantity:
    • Click on the item in your cart (it will highlight yellow).
    • Click the Qty button on the on-screen calculator.
    • Use the calculator number pad to enter the new quantity.
  5. Remove an Item: Click the item in your cart to select it, then click the +/- button to remove it.
  6. Add any special instructions in the Invoice note... box at the bottom right.
  7. When finished, click the INV / PAY button to finalize the cart and proceed to payment.

2. Processing the Payment (Receipt Screen)

After clicking INV / PAY, the system generates an invoice and takes you to the Receipt screen.

  1. Review the total amount due on the left side of the screen.
  2. Select how the customer is paying by clicking one of the large payment option buttons (e.g., Cash, Credit Card). The selected option will become highlighted.
  3. Verify the amount in the Receipt field. It automatically defaults to the total due, but you can type a different amount if they are making a partial payment.
  4. Click Process Receipt.
  5. Once paid, a large green checkmark will appear. You can then click Print Invoice or Print Express Invoice at the top of the screen to hand a copy to the customer.

Field Descriptions

Point of Sale Screen

Field / Button Description
Search Party The customer making the purchase. If your company requires customer tracking, you must select one before paying.
Product Categories Buttons like "All Items" or specific departments. Click these to filter the products shown in the grid.
C (Clear) Button Clears the entire screen and starts a fresh, empty cart.
+/- Button Removes the currently selected item from the shopping cart.
Qty Button Allows you to change the quantity of the selected item using the calculator numbers.
Invoice Note A text box at the bottom of the cart to type messages that will print on the final receipt.

Receipt / Settings Screen

Field Description
Account Receivable The financial account receiving the money. When you click a payment method icon (like "Cash"), this updates automatically behind the scenes.
Receipt (Amount) The actual amount of money the customer is handing you.
Settings: Show Product Image A backend setting that determines if pictures are displayed on the POS buttons to make finding items faster.
Settings: Party Required A backend setting that prevents cashiers from completing a sale without choosing a customer name.
Tip: You do not need to click into a search bar to use a barcode scanner! As long as you are on the POS screen, simply pointing and scanning a barcode will automatically locate the item and drop it straight into your cart. If the barcode is new, the system will prompt you to register it.
