Inventory Reports

The Inventory Reports module provides crucial insights into your stock levels, stock movement, and the financial value of your inventory. It helps bridge the gap between physical warehouse operations and financial accounting.

This module contains two primary reports:

  • Inventory Movement: Tracks the flow of items (quantities and costs) moving in and out of your warehouses over a specific date range.
  • Inventory Valuation: Takes a "snapshot" of your inventory at a specific date and time to calculate its total asset value.

When Do I Use This?

  • Month-End Close: When the accounting team needs to know the total financial value of all company inventory on the last day of the month (Valuation Report).
  • Stock Audits: When investigating a missing product and you need to see exactly how much came in versus how much went out over the last week (Movement Report).
  • Warehouse Management: When a warehouse manager wants to review the traffic volume (items received vs. shipped) for their specific facility.

How To Use

Running an Inventory Movement Report

Use this to see stock activity over a period of time.

  1. Go to the Inventory Report Dashboard from the main menu.
  2. Select Inventory Movement Report.
  3. (Optional) Type a product name in the Product field to filter by a single item. Leave it empty to see all products.
  4. (Optional) Type a warehouse name in the Warehouse field to filter by a single location. Leave it empty to see all locations.
  5. Select your Date From and Date To to define the timeframe you want to review.
  6. Click Submit.
  7. Review the generated report, which summarizes the quantities and costs of items received (In) and shipped/removed (Out).

Running an Inventory Valuation Report

Use this to see what your stock is financially worth at a specific point in time.

  1. Go to the Inventory Report Dashboard from the main menu.
  2. Select Inventory Valuation Report.
  3. (Optional) Search for a specific Product or Warehouse, or leave them empty to include everything.
  4. Select the As Of Date. The system will calculate the stock levels and costs exactly as they were at that specific minute.
  5. Click View Report.
  6. Review the generated table. The bottom of the report will show your Totals for your company's stock asset value.

Field Descriptions

Search & Filter Fields

Field Name Description
Product A search box to look up a specific item. If left blank, the report includes every product in the system.
Warehouse A search box to look up a specific storage facility. If left blank, the report includes all warehouses.
Date From / Date To (Movement Report Only) The start and end dates for tracking stock activity. Only transactions posted within this window are calculated.
As Of Date (Valuation Report Only) The specific date and time for your inventory snapshot. It calculates stock values historically up to this exact moment.

Report Results (What You Are Reading)

Column Name Description
Total In / Total In Cost The total quantity of items received into the warehouse during the date range, and their combined financial value.
Total Out / Total Out Cost The total quantity of items removed or shipped from the warehouse during the date range, and their combined financial value.
Net Movement / Net Cost The difference between what came in and what went out. (e.g., If 10 came in and 2 went out, Net Movement is 8).
Quantity (Valuation Report) The exact amount of physical stock sitting in the warehouse on the selected "As Of Date".
Unit Cost (Valuation Report) The financial cost of a single unit of the product.
Total Cost / Total Asset Value (Valuation Report) The total financial value of the stocked product (Quantity multiplied by Unit Cost).
Tip: You do not need to fill out every search box. If you want a complete, company-wide report for accounting, leave the Product and Warehouse fields completely blank.
Tip: When running the Valuation report, notice the "As Of Date" includes a time setting. If you need end-of-day numbers for December 31st, ensure you set the time to 11:59 PM to capture all activity for that final day.
