Lots & Batches

This module allows you to track specific production runs or deliveries of items in your inventory. By recording lot (or batch) numbers, you can easily monitor expiration dates and trace exactly where specific items came from in the event of a product recall.

When Do I Use This?

  • When receiving medications, chemicals, or food items that have strict expiration dates.
  • When your suppliers require you to log the manufacturer's batch numbers for warranty or safety tracking.
  • When you manufacture your own goods and need to assign a unique batch number to a day's production run.

How To Use

Registering a New Lot or Batch

  1. Go to Inventory → Lots from the main menu.
  2. Click the + New button.
  3. Select the Product this batch belongs to.
  4. Enter the exact Batch number printed on the item's packaging.
  5. Fill in the Manufacturing Date and Expiry Date (if applicable).
  6. Click Save to record the batch.

Field Descriptions

Field Name Description
Batch The unique lot, batch, or control number assigned to the product by the manufacturer.
Product The specific item in your inventory system that this batch belongs to.
Manufacturing Date The date the items in this batch were produced or created.
Expiry Date The date when the items in this batch are no longer safe or effective to use.
Manufacturing Location The specific factory, city, or facility where this batch was produced.
Description Any additional notes or details about the batch (e.g., "Arrived with slight box damage but internal seals intact").
Tip: Always double-check the Expiry Date when entering a new lot. Accurate expiry dates ensure your warehouse can practice First-Expired-First-Out (FEFO) picking, reducing wasted stock!
