Stock Overview

The Stock module allows you to track exactly how much inventory you have, where it is located, and when it is time to order more. It keeps a real-time count of your products across different warehouses and specific storage bins. It also helps you track specific batches or "Lots" of a product, which is vital for managing expirations and recalls.

When Do I Use This?

  • When you need to quickly check if an item is available for a patient or customer.
  • When you are putting away received goods and need to log them into a specific warehouse, shelf, or lot.
  • When you want to set up automatic alerts for low inventory so you know exactly when to reorder.

How To Use

Using the Stock Lookup Tool

The system provides a dedicated lookup screen to help you find items fast.

  1. Navigate to the Stock Lookup screen from your inventory menu.
  2. Use the search filters to find the specific product you need.
  3. Review the current stock level, warehouse, and exact storage location shown on the screen.

Managing Low Stock and Reorders

The system automatically monitors your inventory. You simply need to set the rules:

  1. Open a stock record for a specific product.
  2. Set the Low Stock Level. If your stock drops to or below this number, the system will flag the item as "Low Stock".
  3. Set the Reorder Point to indicate the exact quantity at which the purchasing team needs to buy more.
  4. Click Save.

Field Descriptions

General Stock Fields

Field Name Description
Product The specific item or material being tracked.
Warehouse The building, facility, or main storage area where the item is kept.
Location The exact aisle, shelf, or bin inside the warehouse where the item sits.
Level The total quantity currently available in this warehouse location.
Low Stock Level The warning threshold. If your level hits this number, the system considers you dangerously low on the item.
Reorder Point The target quantity that triggers a new purchase order.
Description Any extra details or internal notes about storing this specific item.

Lot (Batch) Fields

If you track items by batches (like medicines or perishable goods), you will also use these fields:

Field Name Description
Lot The specific batch number or code assigned by the manufacturer.
Level The exact quantity of items belonging to this specific batch.
Note Any special instructions regarding this specific batch (e.g., "Use first", "Slight packaging damage").
Tip: Always double-check that you are selecting the correct Warehouse and Location when adjusting stock. Moving 50 boxes in the system does not help if they are put on the wrong physical shelf!
