Warehouse Management

The Warehouse module helps you keep track of all the physical or logical locations where your company stores inventory. You can define specific storage areas, record their addresses, and categorize them by type (such as Main Storage, Cold Room, or Transit Area) to ensure your stock is organized and easy to locate.

When Do I Use This?

  • When your company opens a new branch or storage facility and needs to track inventory there.
  • When you need to create specific storage zones inside a larger building (e.g., "Pharmacy Rack" vs. "Bulk Supply").
  • When a location is no longer in use, and you need to hide it from the active inventory list.

How To Use

Creating a Warehouse Type

Before creating a warehouse, it is helpful to define categories or "Types" of storage spaces.

  1. Go to Inventory → Warehouse Types from the main menu.
  2. Click + New.
  3. Enter a Name (e.g., "Cold Storage") and a short Code (e.g., "CS").
  4. Provide a brief Description of what should be stored here.
  5. Click Save.

Creating a New Warehouse

  1. Go to Inventory → Warehouses from the main menu.
  2. Click + New.
  3. Fill in the Name and a unique Code for the location.
  4. Select the Type from the drop-down menu.
  5. Enter the physical Address so delivery drivers or staff know exactly where it is.
  6. Click Save.

Field Descriptions

Warehouse Fields

Field Name Description
Name The full, recognizable name of the storage location (e.g., "Downtown Main Warehouse").
Code A short, unique abbreviation used on reports and barcode labels (e.g., "DT-MAIN").
Type The category of the warehouse. This dictates the environment or purpose of the location.
Address The physical street address of the location.
Description Any extra details, such as operational hours or gate instructions.
Active Check this box if the warehouse is currently open and accepting stock. Uncheck it if the warehouse is closed.

Warehouse Type Fields

Field Name Description
Name The name of the category (e.g., "Hazardous Materials").
Code A short identifier for this category (e.g., "HAZMAT").
Description Explains what qualifies a warehouse to be assigned to this type.
Active Check this to make this category available when creating new warehouses.
Tip: Never delete an old warehouse if it has previous inventory history tied to it. Instead, simply uncheck the Active box. This keeps your historical records intact while removing the location from daily drop-down menus!
Note: The system automatically records who created or last updated a warehouse record, along with the date and time, so you always have a reliable audit trail.
