Inventory & Stock Management

This module provides everything you need to track and manage your physical goods. It allows you to monitor current stock levels, organize items across different warehouses and locations, track specific lots or batches, and record every time an item is moved or used.

When Do I Use This?

  • When you need to check how many items are currently available in a specific warehouse.
  • When receiving new goods from a supplier and placing them into a storage location.
  • When transferring items between different departments, clinics, or warehouses.
  • When adjusting stock quantities after a physical inventory count.
  • When tracking items by their specific batch or lot number for quality control or expiration dates.

How To Use

Checking Stock Levels

  1. Go to Inventory → Warehouses from the main menu.
  2. Select the specific warehouse you want to view.
  3. Scroll down to the Stock section to see a list of all items and their current quantities. Note: The system calculates the stock levels automatically based on your transactions.

Recording a Stock Move (Transferring Items)

Use this to record the movement of items from one location to another.

  1. Go to Inventory → Stock Moves.
  2. Click + New.
  3. Select the Move Type (e.g., Internal Transfer, Receipt, Delivery).
  4. Under the Lines section, add the items you are moving and their quantities.
  5. Click Save. The system will automatically generate a tracking Reference number.

Creating an Inventory Transaction (Adjustments)

Use this when you need to manually adjust stock levels, such as recording damaged goods or correcting discrepancies.

  1. Go to Inventory → Transactions.
  2. Click + New.
  3. In the Lines section, select the item, the location, and the quantity to adjust.
  4. Click Save. The system will automatically assign a Reference number and update the Posted status once finalized.

Field Descriptions

Warehouses & Locations

Field Name Description
Warehouse The main physical building or facility where goods are stored.
Warehouse Type Categorizes the facility (e.g., Main Storage, Cold Storage, Department Supply).
Location A specific area within a warehouse (e.g., Shelf A, Bin 3, Room 101).

Stock & Lots

Field Name Description
Level The current quantity of an item on hand. This is automatically calculated by the system and cannot be manually typed in.
Lot The batch or lot number assigned to a specific group of items. Crucial for tracking manufacturing dates or expirations.

Moves & Transactions

Field Name Description
Reference A unique ID number for the move or transaction. The system fills this in automatically.
Reconciled A system-generated check that confirms the stock move has been fully processed and matched.
Posted Indicates whether an inventory transaction has been finalized and officially applied to your stock levels.
Lines The detailed list of individual items being moved or adjusted within a single transaction record.
Tip: Always double-check your Locations and Lots before saving a Stock Move. Putting an item in the wrong virtual location can cause delays during busy working hours when staff are trying to find it physically!
