Recruitment Tasks

The Recruitment Tasks module helps your HR team and hiring managers track and manage the actionable steps required during the hiring process. Whether it is reviewing a resume, conducting a phone screen, or performing a background check, this module ensures every applicant is processed efficiently and no steps are missed.

When Do I Use This?

  • When you need to review a newly submitted job application.
  • When you are assigned to call a candidate for a phone interview.
  • When you need to document multiple attempts to contact an applicant (e.g., Left Voicemail, Sent Email).
  • When you need to assign a background check or reference check to a specific team member.

How To Use

Viewing and Managing Tasks

  1. Go to the Recruitment or Applicant Tracking section from the main menu.
  2. Open a specific Job Application to view its pending tasks, or view your personal task list.
  3. If a task is assigned to your team (Group), you can assign it directly to yourself using the Assigned To field.
  4. Update the State (e.g., "In Progress") to let others know you are working on it.

Logging a Task Attempt

Sometimes a task requires multiple tries to complete, such as calling a candidate. You record these actions by logging an Attempt.

  1. Open the pending Task.
  2. Navigate to the Attempts section and click + New.
  3. Select the Outcome of this attempt (e.g., "No Answer", "Completed").
  4. Write down details of the interaction in the Note field.
  5. Click Save. The system will automatically update the main Task with your final outcome!

Field Descriptions

Task Details

Field Name Description
Type The kind of task to be performed (e.g., Phone Screen, Interview, Document Review).
Application The specific candidate's job application this task is tied to.
Assigned To Group The department or HR team responsible for completing this task.
Assigned To The specific user (recruiter or hiring manager) responsible for the work.
State The current progress of the task (e.g., Pending, Overdue, Completed).
Outcome The final result of the task (e.g., Passed, Failed, Reached Out). This automatically updates when you log a final Attempt.

Attempt Details

Field Name Description
Outcome What happened during this specific try (e.g., "Left Voicemail").
Outcome Specific Additional, specific details related to the outcome.
Note A text box for you to type summary notes, feedback, or candidate responses.

Configuration Settings (For Managers)

Field Name Description
SLO (Service Level Objective) Found on the State setup. Represents the target time (in hours/days) a task should stay in a specific status before it is considered overdue.
Template Found on the Type setup. A standardized form or checklist that recruiters must fill out when completing this type of task.
Tip: Always log an Attempt instead of just editing the Task directly. Logging attempts creates a clear history of all your communication efforts with the applicant, which is highly valuable for the rest of the hiring team!
