Applicant Tracking

This module helps you manage individuals who are applying for jobs at your company. Think of it as your digital filing cabinet for candidates, where you can safely store their profiles, photos, and internal interview notes.

When Do I Use This?

  • When you receive a new resume or application for an open job position.
  • When you are actively interviewing a candidate and need to write down internal feedback.
  • When you are building a pool of potential future hires to reach out to later.
  • When you need to mark a candidate as rejected or no longer under consideration.

How To Use

Adding a New Applicant

  1. Go to Human Resources → Recruitment from the main menu, then select Applicants.
  2. Click the + New button.
  3. Select or create the Party (this links to their basic contact information like Name, Phone, and Email).
  4. Fill in their Profile details and upload a Photo if they provided one.
  5. Write any initial observations in the Note section.
  6. Ensure the Active box is checked so they show up in your current hiring pool.
  7. Click Save.

Updating an Applicant's Status

If an applicant is rejected, hired, or drops out of the hiring process, you should update their record to keep your workspace clean.

  1. Open the applicant's record from your list.
  2. Add the reason for the change in the Note field (e.g., "Declined offer", "Not a fit at this time").
  3. Uncheck the Active box.
  4. Click Save.

Field Descriptions

Field Name Description
Party The individual's personal record. This connects the applicant to their real-world name, email address, and phone number.
Profile A short summary of the candidate's professional background, skills, or a link to their resume/portfolio.
Photo A professional headshot or picture of the applicant (optional).
Note Internal comments meant only for your staff. Use this to record interview feedback, salary expectations, or scheduling notes.
Active A checkbox indicating if the candidate is still moving through the hiring process. Uncheck this when a candidate is rejected or hired.
Tip: Always keep your Notes professional and objective. Since these records are permanent and tied to your user account, they may be reviewed by other managers during the hiring process.
