Recruitment Applications
The Application module is the heart of your hiring process. It allows you to track, review, and manage candidates who have applied for job postings at your company. You can monitor their progress through custom application forms, update their current hiring stage, assign them to interviewers, and record the final hiring decision.
When Do I Use This?
- When you need to review a newly submitted resume or cover letter from a candidate.
- When moving a candidate through your hiring pipeline (e.g., from "Initial Review" to "First Interview").
- When assigning a promising candidate to a department manager for technical review.
- When recording the final outcome of an application, such as "Hired" or "Declined".
How To Use
Reviewing a Candidate Application
- Go to the Recruitment section from the main menu.
- Select the Applications list to see all candidates.
- Click on a candidate's name to open their application profile.
- Here, you can read their Cover Letter and review any internal Notes.
Updating the Hiring Stage
As the candidate progresses through your hiring process, you should update their status.
- Open the candidate's application.
- Locate the State field.
- Select the new stage (e.g., Phone Screen, Technical Interview, Background Check).
- If the process is complete, update the Outcome field (e.g., Job Offered, Rejected).
- Click Save.
Reviewing Applicant Questionnaires (Progress Forms)
When candidates apply online, the system automatically asks them to fill out specific questions required for the job post. You can review their answers once submitted.
- Open the candidate's application.
- Navigate to the Forms section.
- You will see a list of forms required for this job post. Forms marked as Completed have been filled out by the candidate.
- Click on a form to review the data and answers provided by the applicant.
Field Descriptions
Application Details

| Applicant | The name and profile of the person applying for the job. |
| Post | The specific job position they are applying for. |
| Serial | A unique reference number generated for this application. |
| State | The current stage of the candidate in your hiring pipeline (e.g., Screening, Interviewing). |
| Outcome | The final result of the application (e.g., Hired, Withdrawn, Rejected). |
| Assigned To Group / User | The specific department team or user (like a Hiring Manager) responsible for reviewing this candidate. |
| Cover Letter | The introductory message or letter submitted by the candidate. |
| Note | Internal comments or interview feedback. These notes are visible only to your staff, not the applicant. |
Application Forms
These fields relate to the custom questions the candidate fills out via the online applicant portal.

| Sequence | The order in which the applicant must fill out the forms. |
| Completed | Indicates if the candidate has finished answering the questions in this specific form section. |
| Submitted | Indicates if the candidate has finalized and officially submitted their entire application package. |
Tip: Use the Assigned To field to automatically alert department managers when it is their turn to conduct an interview or review a candidate's technical skills.
Tip for Administrators: Application States can be customized. You can set a state to "Fold" (hide or collapse in your view) to keep your active pipeline clean from old or inactive candidates.
