Overview
The Communication module allows you to send messages and emails directly to job applicants. You can easily reach out to candidates using standardized, pre-written templates or by typing custom messages. The system tracks these communications and automatically links them to the candidate's application file.
When Do I Use This?
- When inviting a candidate to schedule an interview.
- When sending a job offer letter or requesting additional documents.
- When notifying an applicant that they have not been selected for a position.
- When you need an official record of what was communicated to an applicant.
How To Use
Sending a Message to an Applicant
- Go to Human Resources → Recruitment → Communication from the main menu.
- Click + New to start a new message.
- Select the specific Application this message is regarding.
- Select the applicant's name in the Party field to set who will receive the message.
- Optional: Choose a pre-written Template. Once you select a template, the system will automatically fill the Message box with the template's text.
- Review or type your text in the Message field. You can edit auto-filled template text if you need to add a personal touch.
- Click Save to send the communication.
Important Note: The moment you click Save, the system immediately sends the message to the applicant. Please double-check your spelling and content before saving!
Field Descriptions
| Field Name | Description |

| Application | The specific job application this message is related to. This helps keep the candidate's file organized. |
| Party | The applicant who will receive the message. |
| Template | A list of standard, pre-approved company messages (like "Interview Invitation" or "Rejection Letter"). Choosing one instantly writes the message for you. |
| Message | The actual body of the text or email that the applicant will read. |
Tip: Always use templates when possible! They ensure company communications look professional and consistent. Even if you use a template, you can still click into the Message box to tweak a sentence or add a specific date and time before saving.
