Patient Management

The Patient module is the central hub for all healthcare records in the system. It contains a patient's personal details, medical history, active treatments, and administrative information. From this screen, you can access everything from simple demographics to complex clinical charts, laboratory requests, and billing.

When Do I Use This?

  • When a new patient arrives at the clinic or hospital and needs to be registered.
  • When a doctor or nurse needs to review a patient's medical history, vital signs, or test results.
  • When front desk staff need to update a patient's insurance coverage or contact information.
  • When generating a bill or invoice for a patient's visit.

How To Use

Registering a New Patient

  1. Go to Health → Patients from the main menu.
  2. Click + New.
  3. Select or create the patient's Party profile (this links their first name, surname, and contact details).
  4. Enter their DOB (Date of Birth) and Gender.
  5. Fill in any other known details like Blood Group or Nationality.
  6. Click Save. The system will automatically generate their MRN (Medical Record Number).

Navigating a Patient's Record

Once a patient is saved, you will see various tabs and sections at the bottom of their profile. These are grouped logically:

  • Critical Safety: Alerts, allergies, and critical warnings.
  • Identity & Admin: Demographics and Insurance Coverage.
  • Workflow & Visits: Appointments, Emergency room status, Waiting list, and Admissions.
  • Clinical History: Vital signs, Diagnoses, Medications, Immunizations, and Doctor's notes (Interactions).
  • Orders & Interventions: Prescriptions, Lab requests, Radiology, Surgeries, and Referrals.
  • Specialties: Specific records for Dental, Ophthalmology, Maternity (Obstetrics), Pediatrics, etc.
  • Financial: Billing records.

Creating an Invoice

  1. Open the patient's profile.
  2. Click the Options menu at the top of the screen.
  3. Select Invoice. You will be redirected to the Point of Sale screen with the patient already attached.

Field Descriptions

Main Patient Details

Field Name Description
MRN Medical Record Number. This is a unique serial number generated automatically by the system. It cannot be edited.
Party The core profile linking the patient's name, phone number, and address.
DOB Date of Birth. The system uses this to automatically calculate and display the patient's exact age (in days, months, or years).
Gender The patient's gender.
IHI Individual Healthcare Identifier (National health ID, if applicable).
GP The patient's regular General Practitioner or family doctor outside your facility.
Blood Group The patient's blood type (e.g., A+, O-).
Nationality The patient's country of citizenship.
Deceased Check this box to indicate if the patient has passed away.
Type Categorizes the patient (e.g., Inpatient, Outpatient, Staff, VIP).
Note General administrative notes about the patient.
Alert System-generated critical warnings (e.g., severe allergies). You cannot type here directly; the system automatically displays active alerts as colored badges based on medical records.

Patient Types

If you need to configure the dropdown list for the Type field, navigate to the Patient Types setup screen.

Field Name Description
Name The display name of the patient category (e.g., "Outpatient").
Code A short internal code for the category (e.g., "OUT").
Active Uncheck this if you no longer want this category to appear in the dropdown list.
Tip: Pay attention to colored badges that appear under the Alerts section. The system automatically pulls critical diagnoses and allergies into this area and highlights them in red or other colors to ensure patient safety.
Tip: The patient's display name at the top of the screen is smartly generated. It will always show their MRN, Age, Gender, Name at a glance (e.g., "10045, 34 Years, Female, Jane Doe").
