Bed and Ward Management

This module allows you to map out your healthcare facility's physical layout by organizing areas into Wards and tracking the individual Beds within them. By linking a bed to a specific service or "Product", the system ensures that patients are billed the correct daily rate for their stay.

When Do I Use This?

  • When your clinic or hospital opens a new wing or department and you need to register the space in the system.
  • When you add new physical beds to an existing room and need them available for patient admission.
  • When updating the billing rate for a specific type of bed (e.g., changing the nightly rate for an ICU bed).

How To Use

1. Creating a New Ward

Before you can add beds, you must create the Ward (the room or department) where the beds will be located.

  1. Navigate to the Wards section from your main menu.
  2. Click + New.
  3. Enter the Name (e.g., "Maternity Ward") and a short Code (e.g., "MAT").
  4. Provide a brief Description if needed.
  5. Click Save.

2. Adding a New Bed

Once your Ward is set up, you can start adding beds to it.

  1. Navigate to the Beds section.
  2. Click + New.
  3. Enter the Name (e.g., "Bed 1") and a unique Code (e.g., "MAT-B01").
  4. Select the Ward this bed belongs to from the dropdown.
  5. Select the corresponding Product (this determines the billing rate for the bed).
  6. Click Save.

Field Descriptions

Ward Fields

Field Name Description
Name The full name of the ward or department (e.g., "Intensive Care Unit", "Pediatrics").
Code A short, unique abbreviation for the ward used in reports (e.g., "ICU", "PED").
Description Internal notes about the ward's purpose, location, or capacity.

Bed Fields

Field Name Description
Name The standard name or number of the bed (e.g., "Bed A", "Bed 01").
Code A unique identifier for the bed, usually combining the ward and bed number (e.g., "ICU-01").
Ward The specific department or room where this physical bed is located.
Product The billing item linked to this bed. This ensures the patient is charged the correct nightly rate (e.g., "General Admission Rate" vs. "ICU Admission Rate").
Description Any specific details about the bed, such as its equipment (e.g., "Adjustable electronic bed", "Near window").
Tip: Always establish a clear naming convention for your Codes (like WardCode-BedNumber, e.g., ER-05). This makes it much easier for nurses and doctors to quickly identify a patient's exact location in the facility.
