Emergency
The Emergency module allows you to track and manage patient visits to the Emergency Department (ED). It helps you record a patient's arrival, assess their urgency (triage), assign care providers, and track their status from the moment they walk in until they are discharged or admitted.
When Do I Use This?
- When a patient arrives at the emergency room seeking immediate medical attention.
- When a triage nurse needs to categorize a patient's urgency level to prioritize care.
- When tracking a patient's journey through the ER (e.g., from "Waiting" to "In Treatment").
- When discharging an emergency patient or transferring them to another hospital department.
How To Use
Registering a New Emergency Visit
- Go to the Emergency module from the main menu.
- Click the + New button.
- If the patient is already in the system, select them in the Patient field. If it is a life-threatening emergency and they are not registered, quickly enter their Firstname, Surname, and Phone.
- Select the Arrival Transport (e.g., Ambulance, Walk-in) and the Reason for the visit.
- Record the Emergency Date (arrival time).
- Click Save to register the visit.
Triaging and Updating Status
- Open the patient's emergency record.
- Select the Chief Complaint (their main symptom).
- Assign a Triage level (e.g., Critical, Urgent, Non-Urgent) based on their condition.
- Assign a Practitioner (the doctor or nurse handling the case).
- Update the State (e.g., In Treatment) to keep the staff informed of the patient's current location/status.
- Click Save.
Discharging the Patient
- When the emergency visit is complete, open the record.
- Set the Discharge Date.
- Select the Departure State (e.g., Sent Home, Admitted to Ward, Transferred).
- Add any final handover details in the Note section.
- Click Save to close out the visit.
Field Descriptions
Emergency Record Details

| Firstname / Surname / Phone | Quick-entry fields for new or unconscious patients when full registration isn't immediately possible. |
| Reason | The general category of the visit (e.g., Work Accident, Traffic Collision, Sudden Illness). |
| Chief Complaint | The primary symptom or issue the patient is reporting (e.g., Chest Pain, Laceration). |
| Triage | The urgency classification of the patient. This tells staff who needs to be seen first. |
| State | The current stage of the emergency visit (e.g., Waiting Room, Triage, Examining, X-Ray). |
| Arrival Transport | How the patient arrived at the facility (e.g., Ambulance, Helicopter, Private Vehicle). |
| Practitioner | The primary healthcare professional assigned to treat this emergency. |
| Emergency Date | The exact date and time the patient arrived at the emergency department. |
| Discharge Date | The exact date and time the patient left the emergency department. |
| Departure State | The outcome of the visit (e.g., Discharged, Admitted, Deceased). |
| Note | Any additional comments, observations, or hand-off notes from the medical staff. |
System Configuration Fields
Administrators can configure the dropdown options for Triage, State, Reason, and Departure State. These configuration screens share the following setup fields:

| Code | A short abbreviation for quick reporting (e.g., "LVL1"). |
| Color | A visual color code applied to this option (e.g., Red for critical triage, Green for non-urgent). Highly recommended for fast visual identification. |
| Description | Further details on when to use this specific classification. |
| Active | Check this box to make the option available in dropdown menus. |
Tip: In a fast-paced Emergency Room, rely heavily on the Color setups for your Triage levels. Red, Yellow, and Green color coding helps doctors and nurses instantly spot which patients need immediate life-saving care directly from the patient list.
