Patient Demographics

The Demographics module allows you to record important social and background information about your patients. This includes details like their marital status, religion, employment, and whether or not they smoke. Gathering this information helps the medical team provide holistic and culturally sensitive care.

When Do I Use This?

  • When registering a new patient at the front desk.
  • During triage or a nursing assessment to update a patient's social history.
  • When admitting a patient to the hospital and ensuring their dietary or spiritual preferences (based on religion) are accommodated.

How To Use

Recording Patient Demographics

  1. Navigate to the Demographics screen under the patient records menu.
  2. Click + New to create a new entry.
  3. Select the Patient you are updating.
  4. Fill in the patient's lifestyle and social details (Employment, Marital Status, Religion, and Smoker status).
  5. Add any extra context in the Note section.
  6. Click Save.

Managing Dropdown Lists (Settings)

If a specific religion, marital status, or employment type is missing from the options, an authorized user can add it to the system.

  1. Go to the Demographics setup menu (Choose Religion, Employment, or Marital Status).
  2. Click + New.
  3. Enter a short Code (e.g., "SNG" for Single) and the full Name (e.g., "Single").
  4. Ensure the Active box is checked so staff can select it.
  5. Click Save.

Field Descriptions

Demographics Form

Field Name Description
Date The date this demographic information was recorded or last updated.
Patient The specific patient this record belongs to.
Employment The patient's current job status (e.g., Employed, Unemployed, Retired).
Smoker A checkbox to indicate if the patient is a smoker. Check the box for "Yes".
Marital The patient's current relationship status (e.g., Married, Single, Divorced).
Religion The patient's identified religion or spiritual belief system.
Note Any additional text or details regarding the patient's background that the care team should know.

Setup Forms (Religion, Employment, Marital)

Field Name Description
Name The full description of the status (e.g., "Full-Time Employed" or "Catholic"). This is what staff see.
Code A short, unique abbreviation used by the system for quick data entry (e.g., "FT", "CATH").
Active If checked, this option is available for staff to choose. Uncheck it to hide an outdated option without deleting historical records.
Tip: Always confirm the Smoker status during routine visits, as this is a critical piece of information for doctors prescribing medications or assessing respiratory risks.
